Tiny Tots Nursery Ltd Terms and Conditions

 

Admission

A completed childcare agreement form and registration fee of £25 are required to secure your child’s place.

Registration Fee and Deposit:

The registration fee of £25 covers administration and settling sessions. The fee is non refundable. A deposit of four weeks fees is required at time of booking.

Tiny Tots Nursery expect parents/carers to notify the Nursery of any change in registration details, including telephone numbers, and provide necessary information requested concerning their child’s care.

Fees and Invoices:

All fees are invoiced one calendar month in advance, any extra sessions or hours will be added to the next months invoice.

Accounts are payable by standing order, voucher or cheque are made payable to “Tiny Tots Nursery Ltd”. We also accept childcare vouchers. We can apply on your behalf for the Free Entitlement from your local LEA (more information will be given to you when your child becomes eligible).Invoices will be issued in the week receding the start of the month and will be due for payment on the 1st of the month. Unless there is a prior arrangement, a 20% charge will be made for fees outstanding after 5th of the month. Cheque payment will not be accepted after 3rd of the month, a cash payment will then be required. Any parent or carer whose fees remain unpaid after 5th of the month, without prior agreement of the nursery manager, risks their child’s place at the nursery being withdrawn. Any payments that are cancelled or returned from the bank will incur a £25 administration charge, and the parent/carer will be asked to pay by cash in future.

A 10% sibling discount is applied to the costs for the eldest child for the jointly attended sessions. All discounts are applied to core childcare provision only and do not apply to extra sessions, or other services. Unless we are in breach of these terms and conditions all booked sessions must be paid for regardless of child’s attendance.

No refunds are given for sessions missed due to sickness or holidays or unavoidable nursery closure. Be aware that the number of day’s childcare provided each month may vary. Bank holidays will not be charged for. There will be a 10% discount fee on fees for Eid, Christmas and New Year closure which will be deducted from invoices accordingly please see holiday timetable for closure period dates. We are closed for approximately 10 working days at Christmas.

In case of default on payment the nursery reserves the right to apply a £50 administration fee for preparation of court papers and interest will be charged at 8% above the bank’s prevailing base rate. The nursery is not responsible for collection of fees from any third parties except in the case of statutory nursery education funding allowance.

Lateness:

If you expect to be late collecting your child due unforeseen circumstances beyond your control please notify the nursery as soon as possible. If notified, the additional time will be charged at the standard hourly rate at £7.50.However regular late occurrences will not be accepted and parents will be charged from the time their session ends at £1.00 per minute.

However un-notified and other late collections will be charged at £1.00 per minute.  Occasionally staff may allow parents up to 5 minutes delay without charge with an appropriate reason for a genuine delay.  However regular late occurrences will not be accepted and parents will be charged from the time their session ends.

In cases where there are late occurrences without an exceptional reason after closing hours at 6.00pm, the late charge rate will be £2.00 per minute. All parents will be made to sign a late slip with their reason for delay which will be stored in their child’s record.

These charges are used to cover emergency staffing and other arrangements. Some examples of reasons which will not be accepted as genuine reasons for delay are transport delays (excluding road works), forgetfulness, no phone credit, traffic, losing track of time etc.

Early Years Free Entitlement:

All young children in England are entitled to receive funding towards their nursery fees from the term after their second or third birthday.

A child who turns three between:

1st January – 31st March
1st April – 31st August
1st September – 31st December

Will become eligible for funding from:

1st April
1st September
1st January

This funding is called Early Years Free Entitlement (EYFE) and it is paid for by the Government.
Children are entitled to claim up to 15/30 hours a week of funding

When calculating EYFE, time is counted in hours, not sessions. The hours are divided between the three terms:

• Summer = 195 hours
• Autumn = 210 hours
• Spring= 165 hours

This means that the total amount allocated per term differs, resulting in different monthly allowances for each of the three terms. That is, in the amount of funding received in the Spring term
will be less than what is received in the Summer and Autumn terms.

There are some National Limits that must be abided when allocating funding to children:
• Funding cannot be applied to a timetable shorter than 6 hours a week.
• A maximum of 6 hours can be claimed per day.
• A maximum of 15/30 hours can be claimed per week.

All parents will receive a timetable with term time closure dates.

Extra Sessions:

From time to time you may wish to book your child in for an extra session at nursery. Requests for these should be submitted in writing to the Nursery Manager or Administrator. Extra sessions will be allocated on a first come, first served basis with the proviso that there is space for us to take on additional children under the EYFE and Ofsted staff to child ratios. We will aim to respond to your requests as soon as possible. Extra sessions are payable at the usual rate and will be charged for after they have taken place. We do ask that if you find you no longer require an extra session that you inform the nursery of this at your earliest convenience.

Please note: Although there are several ‘half-terms’ throughout the year, these only apply to children receiving the Nursery Education Grant. The nursery remains open to any privately-funded children. We are closed on bank holidays and for 10 days at Christmas.

Opening times

The nursery sessions run from 8:00am to 6.00pm. Care between 7.30am8.00am can be made by arrangement only. However there is an additional charge for this extra session priced at £5.00 per session. The nursery is open all year except bank holidays, Eid, the Christmas period, New Years and occasional inset days.

Policies & Procedures:

You can access a copy of Tiny Tots Bradford Ltd Policies and Procedures in the nursery entrance for your convenience.  You may also request a copy at anytime however we charge an administration fee.

Termination, cancellation and change of sessions

One month notice is required by either party for any change of sessions or termination of agreement. If parents choose to leave prior to the end of their notice, fees are non-refundable. The minimum period for any permanent change of sessions is one month. If the notified start date is changed by the parent, we reserve the right to charge from the original start date notified on the registration form

The nursery reserves the right to terminate or suspend the agreement with immediate effect in case of non-payment of fees, or if a parent, carer or child displays abusive, threatening or otherwise inappropriate behaviour, or for any other reasonable cause. Intimidation or abuse of our staff will not be tolerated and may result in immediate termination. In all other cases the standard notice period of one month will apply. Please note: The nursery will still charge for period of suspension until the outstanding amount has been paid.

Insurance

The nursery has extensive insurance cover for nursery based activities and outings. Details of the insurance may be requested from the nursery manager. The certificate is displayed in the nursery reception.

Personal property and belongings

The nursery cannot be held responsible for any loss or damage to any parents, carer’s or children’s property or belongings. Every reasonable effort will be made by the nursery staff to ensure that property or belongings of any parent, carer or child are not damaged.

However items such as children’s prams are left at parents own will, the nursery does not have sufficient space for prams. Irrespective of this due to a gesture of goodwill we allow parents to leave their prams in the nursery reception for children under the age of 24 months. 

Moreover we cannot be held responsible for any loss or damage of these items. Please ensure your child’s clothing is clearly labelled and we suggest that all toys, books and equipment are left at home.

Liability

The nursery accepts no liability for any losses suffered by parents arising directly or indirectly, as a result of the nursery being temporarily closed or the non-admittance of your child to the nursery for any reason. We accept no responsibility for children whilst in their parent’s care on nursery premises. We will not be liable to parents and/or children for any economic loss of any kind, for damage to the child’s or parent’s property, for any loss resulting from a claim made by any third party or for any special, indirect or consequential loss or damage of any kind.

Accidents and illness

The nursery reserves the right to administer first aid and any emergency treatment as required. Parents will be informed of all accidents and will be asked to sign an accident record form. If emergency treatment at hospital is required the nursery will make all reasonable attempts to contact the parents but if this is not possible we are authorised to act on behalf of the parents and authorise any necessary emergency treatment. We will administer prescribed medicines only if parents have completed a Medicine Consent form.

We may require parents to withdraw their child from nursery in the event that they require special medical care or attention which is not available or refused by the parent, or it is considered that the child is not well enough to attend nursery. We may also ask parents to withdraw their child from the nursery if we have reasonable cause to believe that the child is suffering from or has suffered from any communicable disease or infection and there remains a danger that other children may contract such a disease or infection. Please refer to our Health Illness and Emergency Policy regarding exclusion and incubation periods by which we are bound. Parents must inform the nursery if the child is suffering from any illness, sickness or allergies before attending the nursery. The nursery is mindful of the needs of working parents and will endeavour to provide as much continuity of service as possible within the recommendations of the Health Protection Agency by which the nursery is bound.

Parents/Carers are requested to notify us of any accident or injury suffered by the child since the last attended session which will then be recorded (please see child protection policy.

Agreement

These Terms and Conditions represent the entire agreement and understanding between the parents (including other carers) and the nursery. Any other understandings, agreements, warranties, conditions, terms and representations, whether verbal or written, expressed or implied are excluded to the fullest extent permitted by law. We reserve the right to update / amend these Terms and Conditions at anytime.

This agreement is subject to change in part or whole by Tiny Tots Bradford Ltd with one months notice. All parents will be notified via letter within two weeks. Tiny Tots Bradford Ltd will not be held liable for any unread notifications
